請問一下喔 英文正式公文用法

好像不太正式,畢竟是正式的公文
請問有什麼比較正式的用法嗎
用"your clinical trial application has not been pooled in our database"可以嗎?

This is in response to your letter, dated xx xx, 2005, for the request of importing xxx into Taiwan for the clinical trial, Protocal Number xxx. According to the laws and regulations in Taiwan, any new drugs or clinical supplies are not allowed to be imported until the clinical trial is approved by xxx. 雖然我呆過美國可是我卻沒寫過這麼正式的公文啊

不明白中間為何要插入xxx ．
（稍微正式一點）－＞ we have yet to receive any applications regarding the clinical trial from your company.
